How BAEF Intends to Use Your Information

The Belgian American Educational Foundation (hereafter referred to as “BAEF“, “we“, “us“) as data controller is committed to protecting your privacy and personal data. This privacy policy (hereafter the “Privacy Policy“) explains how we collect, use, disclose, store and safeguard your personal data when you visit and/or use our website www.baef.be (the “Website“).

“Visit and/or use our website” encompasses the following services: [(i) creating an account on our Website, (ii) subscribing to an event, (iii) subscribing to our newsletter, and/or (iv) submitting an application form][1]. BAEF only collects personal data that you provide directly or that third parties provide in the context of a service requested by them.

  • Service Providers, Sponsors and Third Parties: We may share your information with third-party cloud providers, service providers who help us provide, understand and improve the Website, and third parties who support or sponsor the BAEF by contributing financial or human resources, solely for the purpose of exploring prospective career and/or networking opportunities with you. We do not authorise these third-party service providers to use or disclose your personal data except as strictly necessary to perform any services under our supervision or to comply with applicable laws. We seek to provide any such third-party service provider, sponsor and partner with only the personal data they need to perform their specific function.

 

  • Legal Obligations: We may disclose your information where we are legally required to do so to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process.

If the recipient of your personal data is located in a non-EEA country and this country is not recognised by the European Commission as offering an adequate level of data protection, we will put in place appropriate safeguards to protect your personal data in accordance with the General Data Protection Regulation (“GDPR“), such as the Standard Contractual Clauses adopted by the European Commission, if necessary with additional measures. In cases where your personal data is transferred outside of the European Union, including to the BAEF’s Head Office in the United States of America, BAEF will ensure, for the duration of the data processing, and as far as possible, to implement appropriate technical, legal and organisational measures to ensure an adequate level of data protection.

  1. How Long We Keep Your Information

Unless a longer retention period is required or permitted by law, your personal data will be stored for a period that is strictly necessary to achieve the stated processing purposes. The retention period is determined based on the nature of the data, the purpose for which it is collected, and any legal or regulatory requirements.

Personal data processed in response to your information request may be stored for up to 12 months after the end of our relationship.

We use administrative, technical, and physical security measures to help protect your personal information.   • The right to data portability – You have the right to request that we transfer the data that we have collected to another organisation, or directly to you, in a structured, commonly used and machine-readable format, within the limits set forth in the GDPR.
  • The right to withdraw your consent at any time – You can withdraw your consent at any time when the processing activity is based on your consent.
